Assist Facilities Management Ltd is a market leading provider of asbestos management services that includes surveying, testing and asbestos removal, serving the whole of the UK. Our Head Office is in Blackburn with regional offices in the Midlands and Scotland. To support our growth we are strengthening our Head Office team by recruiting for an Administrator/Data Processor within our Surveying Department.
The main objectives of this position are to receive, handle and process data captured by surveyors and produce formal report documents and other formal information for submission to clients and / or hosting in a database / web based facility. You will operate under the supervision of the survey coordinator and survey manager.
You will liaise with all asbestos surveying staff in order to produce and finalise quality documentation. You will liaise with clients / customers on a variety of matters including balancing output levels and meeting their demands.
You will report to the survey coordinator on a daily basis and provide regular updates on production levels, progress, shortfalls and backlogs etc. You will identify shortfalls, achievements / failures in scheduled priorities and suggest possible solutions where applicable.
You will be required to liaise with the laboratory and prioritise the through flow of laboratory results for incorporation into reports.
You will be required to produce job sheets for allocated survey work. Upon completion of surveys you will be required to down load, input and complete data captured in PDA form (utilising specialist bespoke software). You will be required to produce, input and complete drawing information (utilising basic AutoCAD software). You will be required to update databases and spread-sheets from captured information. You will be required to check, finalise and produce final copies of formal reports for submission to clients.
On completion of survey work and production of reports you will be required to prepare billing information to enable the accounts department to prepare invoices.
You will be required to scan and archive all raw and final survey information for record purposes.
You will be required to assist the survey co-ordinator in his/her duties and provide cover during periods of annual leave / sick leave and other planned and unplanned absences.
In addition you will perform general administration duties from time to time as required.
Successful performance will be achieved by ensuring customer requirements are met in terms of timely receipt of quality information and ensuring timely and accurate accounts information is produced.
Effectiveness will be measured on customer satisfaction and maximisation of information production levels.
